Coached.io Privacy Policy

Coached.io (“Coached,” “we,” “us,” or “our”) is operated by Cyberwire, LLC. This Privacy Policy explains what personal information we collect when you use the Coached.io website and our AI learning platform (the “Services”), how we use and protect that information, when and with whom we share it, and the choices you have. It also describes our SMS (text-message) practices and the consent you provide when you give us your mobile phone number.

By accessing or using the Services, you acknowledge that you have read and understand this Privacy Policy. If you do not agree, please do not use the Services.

1. About Coached

Coached is an online learning platform that teaches users how to use artificial-intelligence tools effectively. Through Coached.io, users access courses, lessons, exercises, and supporting materials that help them build practical AI skills.

2. Information We Collect

The information we collect about you depends on how you interact with the Services. The categories below describe what we may collect.

2.1 Information you provide to us
  • Account information — name, email address, username, password, and (optional) profile details such as a photo or short bio.
  • Contact information — mobile phone number and, where you provide it, mailing address.
  • Payment information — when you purchase a course or subscription, our payment processor collects your payment-card or other payment details. Coached itself does not store full card numbers; we store only a token and limited metadata (such as the last four digits and card brand) needed to manage your subscription.
  • Course activity — courses you enroll in, lessons you start and complete, quiz and exercise responses, notes, bookmarks, and feedback you submit.
  • Communications — the content of messages you send to us through the contact form, email, SMS replies, or in-app support, and our responses.
2.2 Information collected automatically
  • Device and connection data — IP address, browser type and version, operating system, device identifiers, referring URL, language, and time-zone setting.
  • Usage data — pages viewed, lessons accessed, links clicked, features used, session duration, and other analytics about how you interact with the Services.
  • Cookies and similar technologies — we use cookies, local storage, and similar technologies to keep you signed in, remember preferences, secure the session, and measure performance. See Section 11.
2.3 Information from third parties

We may receive information from third parties that help us deliver the Services, including authentication providers (if you sign in using a third-party account), payment processors, analytics providers, and email and SMS delivery providers. We use this information solely to operate, secure, and improve the Services.

3. How We Use Your Information

We use personal information for the following purposes:

  • to create and administer your Coached account and authenticate you when you sign in;
  • to deliver the Services, including granting access to courses, tracking your progress, and personalizing your learning experience;
  • to process payments and manage subscriptions;
  • to send transactional and account-related messages by email and SMS, including account information, course updates, and notifications about new course materials (see Section 5);
  • to provide customer support and respond to your questions;
  • to maintain the security and integrity of the Services, prevent fraud and abuse, and enforce our Terms of Use;
  • to comply with legal obligations and respond to lawful requests; and
  • to improve the Services through aggregated, de-identified analytics.

We do not sell your personal information, and we do not use your personal information for third-party advertising.

4. Legal Bases for Processing (EEA / UK Users)

If you are in the European Economic Area or the United Kingdom, we rely on the following legal bases under the GDPR or UK GDPR: (a) performance of a contract (to deliver the Services you request); (b) compliance with a legal obligation; (c) our legitimate interests in operating, securing, and improving the Services; and (d) your consent, where consent is required (for example, for SMS communications).

5. SMS / Text-Message Communications

When you provide your mobile phone number and opt in, you consent to receive SMS text messages from Coached related to your account and your learning experience. This section governs all of our SMS practices.

5.1 Consent and opt-in

SMS consent is collected at the point a phone number is submitted (for example, during signup or when adding a phone number to your account) by means of a clearly labeled, unchecked checkbox accompanied by disclosure language that identifies Coached as the sender, describes the message types and frequency, references message-and-data rates, and links to this Privacy Policy and our Terms of Use. SMS consent is not a condition of purchase and is not required to use the Services.

5.2 Types of messages you may receive
  • Account information — sign-in and security alerts, password-reset confirmations, billing and subscription notifications, and other transactional messages about your account.
  • Course updates — reminders about courses you are enrolled in, schedule changes, deadline reminders, and progress check-ins.
  • New course materials — notifications when new lessons, modules, or courses relevant to your enrollment or interests become available.
  • Support replies — responses to support requests you initiate.

We do not send marketing or promotional messages from third parties by SMS.

5.3 Message frequency

Message frequency varies based on your account activity and the courses you are enrolled in. Most users receive approximately 2 to 8 messages per month. You may receive more or fewer messages depending on the frequency of course updates, new releases, and support conversations you initiate.

5.4 Message and data rates

Standard message and data rates may apply depending on your mobile carrier and plan. Coached and Cyberwire, LLC are not responsible for any charges incurred from receiving SMS messages. Contact your mobile carrier for details about your text-messaging plan.

5.5 Opting out (STOP) and help (HELP)

You may opt out of Coached SMS messages at any time by replying STOP to any message you receive from us. After you reply STOP, we will send a single confirmation message and will not send further SMS messages, except that we may send a confirmation if you later opt back in by replying START or UNSTOP. You may also request to be removed by emailing help@coached.io or calling (800) 388-2720.

For assistance, reply HELP to any Coached SMS message, email help@coached.io, or call (800) 388-2720. We typically respond within one business day.

Opting out of SMS may delay or prevent delivery of time-sensitive account, course, or security notifications. Email notifications will continue unless you also unsubscribe from email.

5.6 Supported carriers

Coached SMS communications are supported on all major U.S. wireless carriers, including AT&T, Verizon, T-Mobile, and most regional carriers. Carriers are not liable for delayed or undelivered messages. International carrier support may vary.

5.7 No sharing of mobile information

No mobile information (including phone numbers and SMS opt-in data and consent) will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing limited to subcontractors that support Coached’s own operations — such as our SMS messaging provider, customer-service platform, and fraud-prevention vendors — is permitted solely to deliver the Services you have requested. All other categories of data sharing described in this Privacy Policy specifically exclude text-messaging originator opt-in data and consent; that information will not be shared with any third parties for any purpose other than delivering the Services you requested or complying with applicable law.

6. How We Share Information

We do not sell your personal information, and we do not share it with third parties for their own marketing purposes. We share personal information only as described below.

  • Service providers and subcontractors — we share information with vendors that perform services on our behalf, including cloud hosting, payment processing, email and SMS delivery, analytics, customer support, fraud prevention, and security. These providers are contractually bound to use the information only to perform services for Coached and to protect it consistent with this Privacy Policy.
  • Legal and safety reasons — we may disclose information when required by law (such as in response to a subpoena, court order, or other lawful request) or when we believe in good faith that disclosure is necessary to protect the rights, property, or safety of Coached, Cyberwire, LLC, our users, or the public, or to investigate fraud or violations of our Terms of Use.
  • Business transactions — if Cyberwire, LLC is involved in a merger, acquisition, financing, reorganization, or sale of assets, personal information may be transferred as part of that transaction, subject to the protections of this Privacy Policy. We will provide notice of any change in ownership or use of your personal information.
  • With your consent — we may share information with third parties when you direct us to do so or otherwise consent to the sharing.

As stated in Section 5.7, mobile phone numbers and SMS opt-in data are excluded from all of the sharing categories above except for delivery of the Services you have requested and compliance with applicable law.

7. Data Retention

We retain personal information for as long as your account is active and for as long as necessary to provide the Services, comply with our legal obligations (including tax and recordkeeping requirements), resolve disputes, and enforce our agreements. When information is no longer needed for these purposes, we delete or de-identify it. You may request deletion of your account and associated personal information at any time by contacting help@coached.io.

8. Security

We implement administrative, technical, and physical safeguards designed to protect personal information against accidental loss and unauthorized access, use, alteration, or disclosure. Safeguards include encryption in transit and at rest, role-based access controls, logging and monitoring, and regular security reviews. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

9. Your Rights and Choices

Depending on where you live, you may have the right to:

  • access the personal information we hold about you;
  • correct inaccurate or incomplete information;
  • request deletion of your personal information;
  • restrict or object to certain processing;
  • request a copy of your information in a portable format;
  • opt out of the sale or sharing of personal information (we do not sell or share personal information for cross-context behavioral advertising); and
  • withdraw consent (including SMS consent) at any time.

To exercise any of these rights, email help@coached.io or call (800) 388-2720. We will respond within the time required by applicable law. We may need to verify your identity before fulfilling a request. You will not be discriminated against for exercising your rights.

9.1 California residents (CCPA / CPRA)

If you are a California resident, you have the rights described above with respect to personal information we have collected about you in the prior 12 months, and you may designate an authorized agent to make a request on your behalf. Coached does not sell personal information and does not share personal information for cross-context behavioral advertising.

10. Children’s Privacy

The Services are intended for individuals 18 years of age or older. We do not knowingly collect personal information from anyone under 18. If we learn that we have collected personal information from a child under 18, we will delete that information promptly. If you believe a child has provided us personal information, please contact help@coached.io.

11. Cookies and Tracking

We use cookies and similar technologies to operate the Services, keep you signed in, remember preferences, and measure performance. You can control cookies through your browser settings; disabling cookies may affect the functionality of the Services. We do not use cookies for cross-site advertising and we do not respond to “Do Not Track” browser signals at this time, although we honor the choices described in Section 9.

12. Third-Party Links

The Services may contain links to third-party websites or services, including AI tools we reference in courses. We are not responsible for the privacy practices of those third parties, and we encourage you to review their privacy policies before providing them with information.

13. International Users

Coached is operated from the United States by Cyberwire, LLC. If you access the Services from outside the United States, your information may be transferred to, stored in, and processed in the United States, where data-protection laws may differ from those in your country. By using the Services, you consent to that transfer.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page and, where required by law, provide additional notice. Your continued use of the Services after the updated policy becomes effective constitutes acceptance of the updated policy.
